Are you a highly organized and proactive administrative professional ready to make a significant impact? We are seeking a dedicated individual to provide essential transactional administrative support, primarily focusing on critical calendar management and coordination activities.
In this role, you will be the backbone for key leaders, ensuring seamless operations and contributing directly to the efficiency and success of their initiatives. Your meticulous attention to detail and ability to anticipate needs will empower these leaders to focus on strategic goals, knowing their administrative functions are expertly handled.
Key Responsibilities:
Manage complex schedule(s) for management and external business partners, including coordinating and booking recurring meetings and resolving scheduling conflicts.
Coordinate travel arrangements and process business expenses efficiently.
* Plan and execute events, providing onsite support as needed.
* Maintain facility areas, ensuring they remain orderly and functional.
* Manage equipment logistics, including receiving assets from employees and maintaining the asset closet.
* Provide comprehensive onboarding support for new team members.
* Oversee department/group financial and personnel operations.
* Manage procurement of goods and services, including equipment, office supplies, and reference materials, and foster vendor relationships.
* Serve as a primary contact for the department/group, handling inquiries and facilitating communication.
* Complete special projects as assigned, demonstrating adaptability and initiative.
Must-Have Qualifications:
Solid administrative support background, with proven experience in a fast-paced environment, preferably supporting executive-level roles.
Exceptional organizational skills and meticulous attention to detail.
* Strong ability to self-manage, identify needs proactively, and take initiative without constant guidance.
* Excellent communication and interpersonal skills to interact effectively with all levels of management and external partners.
Nice-to-Have Qualifications:
* Experience working with global teams and a strong understanding of time zone scheduling complexities.
