Administrative Assistant, Global Situational
Location: Midtown Manhattan, New York, New York — Hybrid

Salary: $95,000–$120,000 annually

Responsibilities:
Provide high-level administrative and executive support to senior investment professionals and/or a founder
Manage complex calendars, scheduling, meetings, and competing priorities across multiple time zones
Coordinate domestic and international travel, including flights, accommodations, transportation, and detailed itineraries
Coordinate meetings and communications with investors, clients, executives, vendors, and other external stakeholders
Prepare meeting materials, agendas, presentations, correspondence, and other documents as needed
Track follow-up items, deadlines, and action items to ensure timely execution
Manage expenses and other day-to-day administrative responsibilities
Maintain CRM systems, contact databases, files, and other internal resources
Assist with events, conferences, meetings, and other firm activities
Support recruiting coordination, onboarding, and general office operations as needed
Assist with special projects and time-sensitive initiatives across the firm
Handle confidential and sensitive information with a high degree of discretion
Serve as a reliable resource to the broader team and provide support wherever needed
Identify opportunities to streamline processes, improve efficiency, and make the executives and team more effective
Take ownership of projects and responsibilities beyond traditional administrative tasks
Be available to assist with time-sensitive matters outside of standard hours when needed
Required Qualifications:
3–6+ years of experience in financial services or a comparable high-touch professional environment
Experience supporting senior executives, investment professionals, founders, partners, or other high-level professionals
Background in financial services, investment management, private equity, hedge funds, investment banking, wealth management, consulting, or similar industries preferred
Strong experience managing complex calendars and scheduling
Experience coordinating domestic and international travel
Exceptional organizational skills and attention to detail
Excellent written and verbal communication skills
Highly polished and professional presence
Strong judgment, discretion, and ability to handle confidential information
Ability to manage multiple priorities, shifting deadlines, and a fast-paced workload
Strong follow-through and ability to independently track and execute action items
Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint
Tech-savvy and comfortable learning CRM platforms and other firm-specific systems
Self-starter who is comfortable working independently and taking ownership
Resourceful, solutions-oriented mindset with the ability to see a problem and figure out how to solve it
Comfortable operating in an entrepreneurial environment where priorities can change quickly
Team player who is willing to jump in and assist with responsibilities outside of a traditional EA scope
Interested in building a long-term career within a sophisticated investment management environment
