Title: Payroll Coordinator (.8 FTE)
Location: Mendon MA United States
We are looking for a year-round, part-time (.8FTE) Payroll Coordinator to join our District Office Team!
Reports to: Director of Finance and Operations
Position Summary
-The Payroll Coordinator is responsible for the accurate and timely processing of payroll for all district employees in compliance with Massachusetts laws, collective bargaining agreements, and district policies. This role serves as a key point of contact for employees regarding pay, deductions, and leave balances, and works closely with Human Resources, Finance, and school administrators to ensure payroll integrity across a regional public school district.
Essential Duties and Responsibilities
-Process bi-weekly payroll for all district employees (approximately 400 employees)
-Upload payroll file via ACH
-Prepare and pay bi-weekly payroll tax filings (Mass and Federal/Medicare)
-Prepare and submit 403(b) contributions
-Maintain payroll records, including salaries, stipends, overtime, leaves, deductions, and garnishments
-Coordinate payroll changes related to new hires, terminations, salary adjustments, and leaves of absence
-Ensure compliance with Massachusetts wage and hour laws, DESE reporting requirements, and applicable collective bargaining agreements
-Create and maintain employee profiles and leave plans in Tyler School ERP Pro System
-Reconcile payroll data with the general ledger and assist with monthly and year-end financial reporting
-Prepare and submit monthly payroll reports to systems such as:
-Mass Teachers Retirement System (MTRS)
-Worcester Regional Retirement System (WRRS)
-Empower (OBRA)
-Service Employees International Union (SEIU)
-Respond to employee inquiries regarding pay, tax withholdings, direct deposit, and leave balances
-Employment verifications for staff as needed
-Support audits by preparing payroll documentation and responding to auditor requests
-Maintain confidentiality of payroll and personnel information at all times
-Collaborate with Human Resources on benefits administration, time and attendance systems, and employee data accuracy
-Preparation and distribution of W2's
-Process daily/weekly Accounts Receivable deposits
-Assists with other fiscal duties and projects as assigned
Qualifications
-Minimum of 3 years of payroll experience preferred, preferably in a Massachusetts public school district or municipal setting
-Working knowledge of Massachusetts payroll laws, public-sector payroll practices, and collective bargaining agreements
-Experience with payroll and financial software systems (Tyler School ERP Pro System experience a plus)
-Proficiency in Google Suite
