BRIEF JOB DESCRIPTION: We are seeking a dedicated and detail-oriented professional to join our team as a Secretary Specialist within the Aquaculture Division. This position provides critical administrative support to the Aquaculture Division.  

The Secretary Specialist duties include scheduling public lease hearings, executing leases, and compiling and distributing legal notices. The position will mainly support other members of the Aquaculture Division but will require regular communication with industry members and other external stakeholders. The work consists of complex secretarial support that is critical to ensuring the Aquaculture Division meets all legal requirements for notification of lease proposals and upcoming hearings. Responsibilities require the use of independent judgement, initiative, and discretion to make determinations on varied matters. This position is primarily based out of the Department’s Augusta office but does include the opportunity for some remote work in compliance with applicable policy.

The background of well-qualified candidates will demonstrate expertise in the following areas:

  • Highly proficient in Microsoft platforms, including Excel, Word, and Outlook; data entry and data management skills. 

  • The ability to communicate clearly, both orally and in writing.

  • Strong attention to detail and organizational skills.  

  • Ability to effectively multitask in a fast-paced and team-centered environment.

MINIMUM QUALIFICATIONS:Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a proficient knowledge of the principles and practices of office processes and administrative functions to perform advanced secretarial tasks in assisting management with statewide programs and policies, and 2) the ability to use independent judgment, initiative, and decision-making on complex administrative matters. All positions in this classification assume the qualifications of: Secretary and Secretary Associate.

  • Retirement Plan– The State of Maine contributes 14.11% of pay to the Maine Public Employees Retirement System (MainePERS), on behalf of the employee.  

  • Gym Membership Reimbursement– Improve overall health with regular exercise and receive up to $40 per month to offset this expense. 

  • Health and Dependent Care Flexible Spending Accounts– Set aside money pre-tax to help pay for out-of-pocket health care expenses and/or daycare expenses.
